What decides whether the hire works is simple to state: send the process, not the problem. The close checklist, approval limits and segregation of duties should be designed before the hire starts, and the hire should prepare while someone on your side approves and releases payments. Offshore finance works when you send the process, not the problem
An offshore finance hire succeeds when the job they inherit is written down, and fails when it lives in someone’s head. In most growing companies month-end runs on memory, and memory does not survive a two-hour handover call.
Before the start date, write down four things:
The close checklist. Every recurring task with an owner, a due day in the close calendar, the source of the data and what done looks like. A shared spreadsheet is enough to start.
Approval limits. Who approves what, and up to which amount, for bills, credit notes, journals, write-offs and new vendors. If the founder approves everything today, write that down too.
Segregation of duties. The person who creates a vendor should not be the person who pays them, and the person who prepares a payment should not release it. In a small team that usually means the offshore hire prepares and records, and someone on your side approves and releases.
The policies the hire will apply. Capitalisation threshold, revenue recognition approach, expense policy and chart of accounts conventions. Short is fine; unwritten is not.
Ask your current accountants to review the checklist and the control design before the hire starts, since they will rely on the output at year end. After two or three closes, a good mid-career hire will start improving the process, which is the right order. Asking a new remote hire to design your controls in their first week gives the person with the least context the most authority.

Most companies making a first offshore finance hire need either an AP/AR specialist, if transaction volume is the bottleneck, or a GL and month-end accountant, if the close is slow or unreliable. Management accountants sit between the last two columns, owning the monthly pack and its commentary. An FP&A analyst does the most good once the actuals can be trusted; hired onto unreliable books, they produce confident forecasts built on bad numbers.

What a remote accountant in Indonesia does not do
A finance hire employed through MixWork works on your books under your direction, and does not provide licensed sign-off. On qualifications, some CVs will show Indonesia’s Chartered Accountant (CA Indonesia) qualification, associated with Ikatan Akuntan Indonesia (IAI), the country’s professional accountancy organisation, and some will show international qualifications such as CPA Australia, which runs a representative office in Indonesia. They are useful evidence of grounding. Holding one does not make the hire your licensed accountant or authorise them to sign on your company’s behalf, and the hire should not be presented to clients, lenders or auditors as if it did.

Systems access: named logins and scoped roles
Give an offshore finance hire their own login with only the permissions the role needs, and keep administration on your side. The same rules apply whether you run Xero, QuickBooks, NetSuite, SAP or something else:
A named login for every person. Shared finance logins destroy the audit trail, which is the first thing your auditors will ask about.
Role-based permissions. Check which roles your platform offers, start the hire with what the job needs, and keep administrator rights and user management with your own team.
Locked periods. Whoever reviews the close locks the period once it is signed off, so later entries cannot quietly change reported numbers.
Integrations under your ownership. Bank feeds, payroll connections and app integrations are set up under your organisation’s accounts, never under the hire’s personal email.
Banking permissions: view and prepare, never release
The most important control for an offshore finance hire sits at the bank: they can view balances and transactions and prepare payments, but they cannot release them. Approving and releasing should sit with a named person on your side, ideally with a second approver above a set amount. Configure this maker and checker split with your bank rather than trusting the portal defaults, and confirm your bank allows an overseas portal user who is not your direct employee.
Related controls are worth the effort. Changes to a vendor’s bank details should be verified by someone on your side, by phone to a number already on file, before any payment goes to the new details; payment redirection fraud often arrives as a convincing email from a real supplier’s address. The person who sets up a new vendor should not also prepare that vendor’s first payment. Any corporate card issued to the hire should carry a limit that fits the work.

None of this signals distrust of the person. It protects them as much as you: someone who cannot release money is far harder to blame for a fraudulent payment, and far harder to pressure into one.
Data security for a remote finance hire
Your ledger holds supplier bank details, staff salaries and customer information, so treat the hire’s working environment as part of your control environment. That means a managed company device rather than a personal laptop, multi-factor authentication on every finance system, and no exports of payroll or customer data to personal storage. Personal data needs a specific check. A finance hire in Jakarta who processes your payroll records, staff expense claims or customer billing data is handling personal data across borders. Indonesia’s Law No. 27 of 2022 on Personal Data Protection regulates transfers of personal data, and your own jurisdiction will have its own rules on sending personal data abroad. Confirm the position with qualified counsel in both places before the hire starts, rather than assuming it is covered, and limit access to the records the role genuinely needs.
How to vet an offshore accountant
Vet an offshore accountant on the work rather than the vocabulary.
A reconciliation with planted problems. Give the candidate an anonymised bank statement and the matching ledger extract for one month, containing a duplicated payment, a timing difference, a transaction coded to the wrong account and a small unexplained balance. You are watching whether they explain each difference or force the reconciliation to balance.
A walk-through of a real close. Ask them to describe month-end in their last role, day by day: what they did first, what they waited for, what they chased and who reviewed their work. People who have owned a close describe dependencies. People who have only contributed to one describe tasks.
A controls question. A senior person at your company emails asking for an urgent payment to a new supplier, outside the usual process. What do they do? The answer you want follows the approval route, verifies independently and does not prepare the payment on the strength of an email.
What they need from you. Ask what they would want documented before owning your month-end. Good candidates ask for the checklist, policies and approval limits.
